What was the starting point?
Black Beast Fitness is a single-branch gym in India with 1,100+ members on its rolls. For years it ran on an earlier legacy system, “BBF”, which held what a gym actually accumulates: member records with names and phone numbers, batch timings, plan names and prices, and years of payment and renewal entries.

What kinds of things did the warnings report flag?
This is the part vendors usually skip, and the most useful part. Real gym data is messy; an importer that claims otherwise is guessing silently. Ours flags instead. These categories are documented importer behavior:
- Batch timings written as free text. Entries that could not be parsed as actual times were imported as flagged placeholders for a human to fix in the setup wizard, never silently guessed. (In GMS, batches are time-slot labels, not bookable classes.)
- Plans carried over, then confirmed. Imported plans kept their legacy prices and month-based durations, flagged for the owner to confirm in the wizard rather than assumed correct.
- Members with a missing or invalid phone number. Listed for review, because the phone number is what WhatsApp reminders run on.
- Old payment entries that matched no known plan. Listed for review instead of being force-fitted to the nearest plan, so history stayed honest.
- No member email addresses. The legacy records carried phone numbers, not emails, which is typical for Indian gyms, so WhatsApp became the reminder channel from day one.
- Photos were not migrated. Member photos were not migrated; they stayed behind in the old system.
One more documented behavior: after the import, only each member’s latest plan stays active. Everything older becomes what it should be, payment history attached to the member.
What runs at Black Beast Fitness today?
The gym runs on GMS day to day. Concretely:
- Automatic WhatsApp lifecycle messages on the official WhatsApp Business platform (Meta’s Cloud API): a welcome on joining, a confirmation on renewal, a reminder before expiry, and a follow-up after, with an anti-spam guard so the same message is never sent to a member twice in one day. - Desk billing with numbered receipts. Part payments, dues with a live balance, discounts recorded with a reason, per-staff accountability for collections, and receipts shareable on WhatsApp in a tap.
