When should you send each message?

The library only works with restraint. Rules that hold up across gyms:

  • Start renewals about 7 days before expiry (2 weeks out is even better for annual plans), again at 3 days, once on expiry day. Never open with a post-expiry message.
  • Keep every message under 5 lines. WhatsApp is a chat, not a letterhead.
  • One message per member per day, maximum, no matter how many things are due. If the renewal reminder and the dues reminder both fall today, send one.
  • Always give an easy way to respond: reply YES, reply REJOIN, or plain “reply here”. Replies turn a broadcast into a conversation, and conversations renew memberships.
