What should a gym member register track?

Whatever your current gym record book format is, a physical register at the desk or a gym member data excel sheet, it has to answer the same three questions in seconds: who is this person, when does their plan end, and how much is pending. The template gives every member one row with these 15 columns:

The balance due column is the quiet hero. When it is a formula instead of a typed number, part payments stop causing fights: update the paid amount and the pending amount corrects itself, and the totals row at the bottom shows your total collected and total outstanding across the whole gym.

How do you use this gym member register template?

The file has three tabs: Member Register (English), सदस्य रजिस्टर (Hindi) (the same register in Hindi, for staff who are more comfortable filling it in Hindi), and a short How to use tab.

  1. Download the template and open it in Excel, or use it in Google Sheets: upload it to Google Drive and open with Sheets, or open a blank Sheet and go to File, then Import. Both routes are free and officially supported, per Google’s own Excel-and-Sheets guide.
  2. Row 2 is a worked example (a sample member with a part payment). Replace it with your first real member.
  3. Fill one row per member, rows 2 to 201, which covers 200 members. Enter the agreed amount and the paid amount; balance due fills itself.
  4. Leave the totals row alone. It sits below the member rows and adds up agreed, paid and outstanding automatically.

If your register today is a paper book, do not try to type five years of history in one sitting. Enter your currently active members first, then add lapsed members only when they walk back in.

How do you run a member register well?

The sheet is the easy part. The routine around it is what keeps money from leaking:

  • Sort by plan end date every Monday. Select the data, sort ascending on the end date column, and everyone expiring in the next two weeks rises to the top. Message each of them on WhatsApp that morning. If you want wording that does not sound robotic, copy from our gym WhatsApp message templates.
  • Record part payments the same day. “He will pay the rest after salary” is fine, but only if the paid column and a dated note say so. Memory is not a payment record.
  • Keep WhatsApp numbers clean. One number per member, checked at joining by actually messaging it once. A register full of wrong numbers is a register that cannot collect.
  • One person owns the file. Everyone can read it, one person edits it, and a copy lives in Google Drive so a stolen laptop is not a business disaster.
  • Never delete a member row. Mark lapsed members in the notes instead. Deleted history is exactly the history you need when they return in November asking what rate they used to pay.

Do this and an Excel register will genuinely run a small gym. We say this as a software company: below roughly a hundred members, a disciplined sheet plus WhatsApp beats a badly used app.

Where does Excel stop working for a gym?

Every limit below is structural. No template, including ours, fixes them:

  • The sheet knows, but does nothing. Excel can tell you a plan ends Friday. It will not message the member, and Monday’s sort only works if someone actually does it every Monday, including festival weeks. Renewals missed in busy weeks are the single biggest leak, and the reason retention needs a system, not a memory (our gym member retention playbook goes deeper).
  • No receipts. A member pays Rs 6,000 cash and gets nothing numbered in return. Six months later, “I already paid for the year” becomes your word against theirs.
  • Formula accidents. Sort only some columns and every name shifts against the wrong dues. Drag a cell and the balance formula silently breaks. This is not a gym problem, it is a spreadsheet problem: field audits collected by researcher Raymond Panko found errors in 94% of the operational spreadsheets studied. Verified as of July 2026 against Panko’s EuSpRIG 2015 conference paper.
  • One-person dependency. The sheet lives on one laptop, in one person’s head. When that person is on leave, collections drift.
  • No accountability. Cash comes in through three staff members and one column. When the drawer is short, the register cannot tell you who collected what.
  • No member login. Every “bhaiya, when does my plan end?” is a phone call to your front desk, because members can see nothing themselves.

The real reason gyms stay on Excel past the breaking point is not love of spreadsheets. It is the dread of retyping a thousand members into a new system, and the fear of what breaks if the transfer goes wrong.
